When a CRM is a useful starting point
A CRM focuses on customer relationships and sales activity. It can help your team keep contact records, track leads, assign follow-ups and see where opportunities stand.
If these are your main problems, review whether an existing CRM can support the workflow before commissioning a larger custom build. Configuration and a clear operating process may be enough.
When custom software makes sense
Custom software is worth discussing when your work has specialised rules, several connected teams or data that must move between existing systems.
Hotel room operations, complex inventory movement or institution-specific approval flows may need more than a standard sales pipeline. The important question is which requirements are essential and which are simply habits your team could improve.
Look beyond the feature list
- Access: who can view, change, export or delete each type of record?
- Data: what must be imported, cleaned or kept in the old system?
- Reporting: which decisions should the reports help you make?
- Reliability: who manages backups, hosting and restore checks?
- Adoption: who trains staff and answers questions after launch?
Ask for a walkthrough using a realistic example from your business. A screen full of charts is only useful if the underlying records and responsibilities are clear.
Start with one manageable phase
You can begin with leads and follow-ups, room bookings, or inventory visibility rather than changing every department at once. Define what success looks like for that phase, train the people using it and review their feedback before expanding.
